Who is responsible for your information?
Roast & Found is the controller of the personal information described in this notice. If you have a question, want to exercise a privacy right or would like us to delete your information, email hello@roastandfound.co.uk.
What we collect
- Newsletter details: your email address and subscription status.
- Matchmaker preferences: the brewing methods, drink style and flavour profile you submit when joining through the Roast Matchmaker.
- Signup route and interests: tags showing whether you joined through the general newsletter, Matchmaker or a particular Spotlight offer.
- Map contributions from roasters: roastery and contact details, listing corrections and whether a roaster would like a separate Matchmaker follow-up.
- Roaster Matchmaker submissions: roastery and contact details, product links, coffee characteristics, availability information, publication permission and review notes supplied by participating roasters.
- Map recommendations from coffee drinkers: the roaster name, link, location and reason supplied, plus your name or email only if you choose to provide them.
- Email engagement: delivery, opening and link-click information where EmailOctopus tracking is enabled.
- Technical information: limited information such as IP address, browser and request details may be processed in connection with hosting, security and the embedded map.
You do not have to provide this information, but we cannot send the newsletter, save your preferences, unlock an emailed Spotlight offer, respond to a roastery listing request or review a Matchmaker contribution without the necessary details.
How and why we use it
- To send the emails you asked to receive, including brew guides, coffee stories, recommendations and Spotlight offers.
- To tailor Matchmaker-related content using the preferences you provided.
- To check, add or correct independent-roaster map listings and contact a roaster about its request.
- To review, categorise, publish and maintain coffee information submitted for the Roast Matchmaker.
- To investigate coffee-drinker suggestions and keep the map accurate and useful.
- To understand whether emails are delivered and useful, and to improve future editions.
- To prevent abuse, diagnose faults and keep the website and signup service secure.
We rely on your consent for marketing emails and the preferences associated with them. You can withdraw that consent at any time by using the unsubscribe link in an email or contacting us. We rely on our legitimate interests to operate and secure the website, review map and roaster Matchmaker submissions, maintain accurate listings and product information, handle faults and keep appropriate records, provided those interests are not overridden by your rights.
Who processes it
We use carefully selected services to run Roast & Found:
- EmailOctopus stores subscriber records and sends and measures our emails.
- Netlify hosts the website, stores map contribution and roaster Matchmaker form submissions and runs the secure function that passes signup information to EmailOctopus.
- Google supplies the embedded roaster map and web fonts. Google may receive technical information when its services load or are used.
These providers may use subprocessors or process information outside the UK. Where personal information is transferred internationally, we expect appropriate safeguards recognised under UK data protection law to be used. We may also disclose information where required by law or to professional advisers who owe duties of confidentiality. We do not sell or rent subscriber information.
Cookies, embedded content and email tracking
Roast & Found does not currently use its own advertising or behavioural-analytics cookies. The embedded Google map is third-party content. When it loads, Google may process device and usage information and may use cookies or similar technologies in accordance with its own policies.
Our emails may contain tracking technology supplied through EmailOctopus. Where enabled, this can tell us whether an email was delivered or opened and whether a link was selected. This helps us understand deliverability and which content readers find useful. Your email application may let you block remote images, and you can unsubscribe from our emails at any time.
How long we keep it
We normally keep your subscriber record and associated preferences while you remain subscribed. Map and roaster Matchmaker submissions are kept while we review them and for as long as they remain useful for maintaining or evidencing a listing or product entry. If you unsubscribe, we may retain the minimum information needed to honour that choice, maintain a suppression record, resolve complaints and meet legal obligations. We periodically review the information we hold and delete or anonymise information that is no longer needed.
Your rights
Depending on the circumstances, you may have the right to ask for a copy of your information, have inaccurate information corrected, have information deleted, restrict or object to its use, or receive information you supplied in a portable format. You can also withdraw consent at any time without affecting earlier lawful use.
The Matchmaker produces lightweight coffee recommendations from the answers you choose. It does not make decisions that have legal or similarly significant effects on you.

Changes to this notice
We will update this page if the way Roast & Found uses personal information changes. The date at the top shows when it was last revised. If a change materially affects how we use subscriber information, we will explain it clearly.
